The two failure modes at every event are the same every year: too much of the wrong thing, not enough of the right one. Both are planning problems, not shipping problems.
Estimate against booth traffic, not attendance
Ten thousand attendees does not mean ten thousand giveaways. Estimate against realistic booth stop-throughs, then plan a small warehoused contingency for mid-show reorder.
Wardrobe the staff, not the visitors
- Booth staff wear the primary brand story
- Visitors take the secondary: small, useful, keep-worthy
- VIPs get the tertiary: considered, personal, unbranded-adjacent
