How the calculator works
- Target audience is attendance times the share of attendees who fit your buyer profile.
- A well run exhibit reaches about 45% of its target audience over a show, so that is the number of people you could reach.
- Booth capacity is exhibit days times hall hours times staff on duty times conversations per staffer per hour. A booth holds about one staffer per 50 square feet.
- Planned conversations are the smaller of the reachable audience and booth capacity.
- Walk-by items cover booth traffic (attendance times the traffic share) or planned conversations, whichever is larger, plus the buffer, rounded up to the next 50.
- Conversation items cover planned conversations plus the buffer, rounded up to the next 25.
- Premium gifts cover each planned meeting plus 10% spares, rounded up.
- Every quantity is multiplied by the number of shows using the same plan.
Choosing items for each tier
Walk-by item: light, low cost and useful at the show, such as pens, lip balm, phone accessories and snacks. Avoid bulky items people must carry around the hall.
Conversation item: something people keep at a desk, such as drinkware, notebooks, tech accessories and tees.
Premium meeting gift: quality brand items or small kits. If they are heavy, ship them to the recipient's office after the show.
- Bring 10 to 15% extra.
- Keep premium gifts out of sight and hand them out by name.
Frequently asked questions
- How many giveaways should I bring to a trade show?
- Plan three tiers. Bring walk-by items for about 20% of attendance, conversation items for the conversations your staff can hold, and a premium gift for each planned meeting, then add 10 to 15% extra. For a 5,000 person show with a 10x10 booth that is about 1,150 walk-by items, 200 conversation items and 28 premium gifts.
- How do I estimate booth traffic?
- Start from verified attendance, not registrations. About 15 to 20% of attendees typically stop at a given booth. For conversations, estimate your target audience and expect a well run exhibit to reach about 45% of it.
- How many people can staff a 10x10 booth?
- About 2. Plan on one staffer per 50 square feet of open booth space, so a 20x20 holds about 8.
- How early should giveaways arrive?
- By the advance warehouse deadline in your exhibitor kit, often about a week before move-in. Late arrivals can carry a surcharge.
- Should we ship to the advance warehouse or the venue?
- The advance warehouse is usually safer. It accepts freight weeks ahead and delivers to your booth before move-in. Direct to venue shipments only arrive on move-in days and leave less room for delays.
- Should premium gifts be given to everyone?
- No. Keep premium gifts out of sight and hand them out by name to qualified meetings and demos. Walk-by items are for everyone who stops.
